This event was held in the Westin Grand Hotel, the conference took place in Ballroom West. Bartholomew Diaz and Vasco da Gama were combined and used as a break away room as well as the venue were the awards ceremony took place. The Sir Francis Drake venue was also used as a break away room.
We provided a 6m x 2.4m stage. The logos of the conference sponsors were printed on a large banner that was placed behind the stage and two front projection screens were placed, one left and one right of the stage. The lectern was used for presentations and panel discussions were done with hand held microphones. Two plasma screens were used as confidence monitors and we used a four speaker sound system. The presentations were loaded at the back and a second laptop was used to show the results of the votes cast by the delegates.
Break away rooms…
The Sir Francis Drake room had a two speaker P.A with a podium mic, a table top mic, a pc audio connection and a screen and projector. The setup in the combined Vasco da Gama and Bartholomew Diaz was a duplicate of the setup in Ballroom West, except it only had one projection screen instead of two and two additional plasma screens.
The ceremony took place in the combined Vasco da Gama and Bartholomew Diaz rooms on the last day of the conference. We reset the equipment that was used for the break away and made some adjustments. We removed the screen and projector, centred the stage in the room, moved the two plasma screens to behind the stage, removed the confidence monitors and changed the banner.
